Tonal Language: Vietnamese is a tonal language, meaning that the meaning of a word can change based on the tone in which it is spoken. There are six different tones in standard Vietnamese, each of which is indicated by diacritics written above or below the main vowel of the word. This tonal nature requires translators to be highly attentive to the use of accents to ensure the intended meaning is conveyed accurately in written form, as incorrect use of tones can lead to significant misunderstandings.

Lack of Gendered Pronouns: Similar to some other Asian languages, Vietnamese does not use gender-specific pronouns in the same way that many Indo-European languages do. The same word, “anh” or “chị,” can mean “he” or “she” depending on the context. This feature can make translations into languages with gender-specific pronouns challenging, as additional context is often needed to determine the appropriate pronoun in the target language.

Script Transition: Historically, Vietnamese was written using a script called Chữ Nôm, which was based on Chinese characters. However, in the 17th century, a Romanized script called Chữ Quốc Ngữ was developed by Jesuit missionaries to help spread Christianity. This script, which is still used today, was instrumental in increasing literacy rates and has made Vietnamese more accessible to non-native speakers. For translators, this shift means that they have the unique advantage of working with a script that is familiar to those who understand the Latin alphabet, potentially easing the learning curve but also posing challenges in preserving the cultural nuances embedded in the original script.

Official Vietnamese documents must have all diacritics accurately captured in the translation record. Vietnamese names follow the order family name–middle name–given name, and the most common Vietnamese surname, Nguyễn, is shared by approximately 40% of the population, making accurate identification crucial. Older documents from before 1975 may use different romanisation conventions.

    Frequently translated Vietnamese documents include birth certificates (giấy khai sinh), marriage certificates (giấy chứng nhận kết hôn), household registration books (sổ hộ khẩu), Vietnamese driving licences, academic transcripts from Vietnamese universities, police clearance certificates (lý lịch tư pháp), military service records, and notarised copies of identity documents. Vietnamese documents are often issued as notarised copies (bản sao công chứng) rather than originals, which is standard practice in Vietnam.

    Vietnamese official documents frequently reference both the current administrative unit and historical place names — provinces and districts have been renamed and restructured multiple times since 1975. A birth certificate might list a birthplace name that no longer exists administratively. NAATI translators must note these historical references without altering them. Vietnamese documents also use the Vietnamese number system alongside Arabic numerals, and dates follow the DD/MM/YYYY format consistent with Australian convention.
